About the Role:

We are seeking an outstanding Executive Assistant to join our virtual global Executive Assistant team who is supporting the Partners of Potential Project. The main task will be to proactively manage and organize the calendar and facilitate and prioritize internal communication. There is potential to grow the role and participate in strategic projects.

Specific to this role, it is essential to be service oriented and have a strong attention to detail, the ability to deliver work to a high-quality standard and to exhibit excellent virtual communication skills. Interest in and practice of mindfulness is an important requirement to fit our organizational culture.

We are looking for someone who can commit to 35 hours per week Monday through Friday. This position is ideally suited to someone in the CET or in ET time zone.

Please note that this is a self-employed role.

Areas of Priority:

  • Proactively manage and organize daily calendars
  • Manage the Partners inbox and phone calls
  • Plan appointments and events and make travel arrangements
  • Point of contact for clients and internally on behalf of Partners
  • Collaborate across EA team in the delivery of priorities
  • Facilitate internal communication (distribute information and schedule presentations)
  • Managing Meeting Agendas with Partners/Board

Qualifications and Experience:

  • A purpose driven spirit, aligned with our mission of contributing to a more peaceful, kinder world
  • Proven work experience as an executive assistant for Chief Officer roles
  • Solid experience with office management tools, including MS Teams, Zoom and Zoho CRM
  • Flexibility to be able to respond to fast changing circumstances
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Proactive, can-do mindset that can operate autonomously
  • Demonstrates a highly collaborative, service oriented, team-player mind-set
  • Can thrive working independently in a virtual, global organization
  • An excellent level of English, fluent in both spoken and written is essential
  • Strong attention to detail
  • Having a daily personal meditation practice
